Executive summary

This assessment shows how a small photography studio can find, rate and control the risks that arise in portrait, fashion and commercial work. Eight risks were chosen because they are plausible in everyday practice, from a brief that shifts after the shoot to a file that a client cannot open. Unclear briefs, missing releases and unlicensed use are the most likely to cause harm, while cultural and representation concerns are less frequent but damage trust quickly. Each risk is scored before controls and again after existing and added controls. Most risks fall to Medium or Low once controls are in place, though brief and scope problems stay High until a signed scope is in use. The first actions are a written brief template with a change request step, a standard release and usage checklist, a file naming and version rule, and a shared schedule with a contingency day. Scope

This assessment covers a small studio producing portrait, fashion and commercial photography from brief to delivered images, including pre-production, shoot days, retouching, approvals and licensed use. It does not cover fine art sales or any specific client contract. Jurisdiction, studio size and client sector are assumptions made for teaching only.

Context

The studio has one lead photographer, a producer who manages bookings and budgets, a retoucher, and a part-time stylist. Work is shot on location and in a rented studio with strobes, and files move through a shared drive, a review platform and client delivery links. Clients sign briefs and usage terms, and models sign releases before a shoot. Each risk is scored before controls to show its natural level, then again after existing controls and the controls that should be added.

Objectives, assets and stakeholders

The objective is to deliver images that meet the brief on time and within budget, while protecting people, rights and client material. The assets in scope are the raw and edited image files, model and property releases, client briefs, confidential product or campaign information, studio equipment, the booking calendar and the studio reputation. Stakeholders include the lead photographer, producer, retoucher, stylist, models, clients and agencies, end audiences who see the images, and the regulators or courts that apply where the work is used. Every risk has one owner role. The lead photographer keeps the register current and reviews it with the producer each month.

Unclear brief and scope creep

Rating method and evaluation

Each risk is rated on two five-point scales. Likelihood runs from Rare to Almost certain, and impact runs from Insignificant to Severe, covering money, time, client trust, personal harm and legal exposure. Multiplying the two gives a score from 1 to 25, which falls into one of four bands: Low from 1 to 4, Medium from 5 to 9, High from 10 to 16 and Critical from 17 to 25. The score orders work and does not measure anything precisely. Inherent risk is the score before controls, based on how the work is normally done. Residual risk is the score after existing and added controls are working, and it must never be higher than the inherent score. A risk with an inherent score of 10 or more must show a lower residual score. Privacy, consent and licensing risks are never rated down only because no complaint has been received yet. Critical and High risks need a named owner, a dated plan and review by the lead photographer and producer before the next shoot. Medium risks get routine controls and a named owner, and Low risks are accepted and watched. Ratings are challenged in a short review where the people who do the work argue for a higher or lower score using evidence from past jobs, and any rating changed after an indicator reaches its threshold is recorded with the reason.

  • 3 Possible: Could happen at some time.
  • 2 Unlikely: Not expected, but it could happen.

  • 1 Insignificant: No lasting effect. Handled within routine work.
  • 2 Minor: Small effect that is quickly corrected.
  • 3 Moderate: Noticeable effect that needs managed effort to correct.
  • 4 Major: Serious effect on people, delivery or reputation.
  • 5 Catastrophic: Severe or lasting effect that threatens the whole activity.

Contingency arrangements

If a serious event occurs, such as a model complaint about an image, a claim of unlicensed use or a lost memory card, the producer pauses publication and any related delivery. The lead photographer secures the original files, signed releases and briefs. The producer informs the client and agency within one working day with a plain account of what is known. Legal advice is sought through the studio's adviser where a claim is possible. A backup set from the second storage location is used to rebuild lost files, and a reshoot day is held in reserve for critical campaigns.
